In GetFoodTruckPOS a truck is a location and the device or till at its window is a register. Setting them up properly is what lets you see which truck sold what, count cash per truck, and give each truck its own menu and prices later.
Before you start
- Your account is created and verified. If not, start with Create your account.
- A name for each rig that your staff will recognise, such as “Red Truck” or “Taco Cart 2”. Avoid names that change, like the street you park on.
- Decide whether your commissary or prep kitchen should be a location too. If you keep stock there and move it to trucks, the answer is yes.
- Know which plan you are on. Cart and Truck cover one truck; Fleet covers several trucks plus a commissary. See pricing if you are unsure.
Steps
- Open Settings > Business locations. You will see one default location created at signup.
- Tap Edit on the default location and rename it to your first truck’s name. Fill in a contact phone and, if you like, the home base address. This address is for your records; your daily spot is posted separately.
- Under Receipt settings, keep the defaults for now. You can tune the receipt header and footer later.
- If you run more trucks, tap Add location and repeat for each one. Fleet plan users can also add the commissary here, named something like “Commissary”.
- Open Cash registers (sometimes shown under Settings > Registers). Tap Add register, choose the truck location, and name it after the device, for example “Window phone” or “Hatch tablet”.
- If two staff ring sales at the same window on two phones, add a second register for that truck so each device’s cash is counted on its own.
- Open Users, pick each staff member, and under Access locations tick only the trucks they work on. A cook on the red truck does not need to see the blue truck’s sales.
- Save, then log in on the device you will use at the window. Open POS. If you have more than one location, pick the truck from the location selector at the top.
- The first time you open POS on a register you will be asked to open it with a cash float. That is covered in Open and close the cash register.
Check it worked
- Settings > Business locations lists every truck (and the commissary, if added).
- On the POS screen the truck name shows in the header.
- Ring a small test sale, then open Reports > Sales and filter by location. The test sale appears under the right truck only. Void it afterwards.
Common problems
I cannot add a second location
Your plan limits the number of trucks. Cart and Truck plans cover one truck. Move to Fleet under Settings > Subscription, or contact us if you need a different mix.
Staff can see every truck
Their user has “All locations” ticked. Edit the user, untick it, and tick only their truck. They need to log out and back in for the change to take effect.
Sales landed on the wrong truck
The register was opened at the wrong location, usually because the selector was left on the last truck used. Close the register, switch location in the POS header, and open it again. For past sales, the sale can be edited by an admin to change its location, or voided and re-rung.
The commissary shows up on the POS
A commissary is a location like any other, so it can appear in the selector. If nobody sells from it, do not give it a register and remove it from staff access. It will still hold stock.
My truck parks somewhere new every day
That is normal. Do not change the location address daily. Use the Today’s spot post on your online store instead: see Post today’s spot.
