Read your end-of-day report

After closing the register, open Reports > Register report for the cash and card totals, then the product sell and tax reports for what sold and what tax you owe; export to a spreadsheet or PDF for your bookkeeper.

The end-of-day report tells you three things: how much you took and by which method, what sold, and whether the cash box matches. Read it while the day is fresh. A gap you spot tonight is easy to explain; a gap you spot next month is not.

Before you start

  • You have closed the register for the day. See Open and close the cash register.
  • Your processor’s app is open with today’s card batch, so you can compare card totals.
  • Any paper sales from a signal drop are entered.
  • A data connection, since reports load live from your account.

Steps

  1. Open Reports > Register report. Set the date to today and the location to the truck you are checking.
  2. Tap the register to open its details. Read the top block first: opening float, total sales, and the split by Cash, Card and any custom methods such as JazzCash or Bank transfer.
  3. Compare the Card total with your processor’s batch for today. They should match, allowing for tips if you add them separately.
  4. Look at Expected cash versus Counted cash. Read the closing note if there is a difference.
  5. Open Reports > Product sell report for the same date and truck. Sort by quantity to see your top sellers and what barely moved. This is the list to plan tomorrow’s prep from.
  6. Open Reports > Sales by staff if more than one person rang sales. It shows each person’s total and their voids or discounts.
  7. Open Reports > Tax report for the day. This is the tax you collected. It is the figure your accountant needs, not a filing.
  8. If you logged expenses such as fuel, propane, commissary rent or permit fees, open Reports > Profit / Loss for the day or week to see what was left after costs.
  9. Tap Export on any report to download a spreadsheet or PDF, or share it to your bookkeeper.

Check it worked

  • The total sales figure matches the sum of the payment method lines.
  • Card matches your processor; cash difference is zero or explained.
  • Your top sellers look right to you. If the product report says you sold forty desserts and you made twenty, something was rung on the wrong button.

Common problems

The report shows zero

The date or location filter is wrong, or the register is still open. Close the register and refresh. Also check the time zone in Settings > Business settings: late-night sales after midnight count toward the next day.

Sales are split across two days

If you trade past midnight, sales after midnight belong to the new date. Run the report across both dates, or filter by register instead of by day.

The tax figure looks wrong

Check that your tax rates and inclusive or exclusive setting are correct (see Set up taxes by country). Past sales keep the tax they were rung with, so fixing settings changes future sales only.

Discounts and voids are high

Open the staff report and look at who applied them. Set discount limits per role under Users > Roles so only managers can give large discounts.

I need one report across all trucks

Leave the location filter on All locations. On the Fleet plan this gives you central totals plus the split per truck.
